Travel allowance and attendance caps
Attendance caps have been set so representation is proportionate and manageable.
- Small operators: 1 operator + 1 team member
- Medium operators: 1 operator + up to 2 team members
- Large operators: 1 operator + up to 3 team members
Travel reimbursement will only be paid once per operator, not per attendee. All allowances will be paid in a block a week before the event. The travel distance will be measured from the operator’s site to Brisbane’s CBD.

*NB: If an operator living more than 200km from Brisbane brings a plus one to the awards requiring a separate room (e.g. An operator brings an employee of the opposite gender who they’re not in a relationship with) COEX will cover this extra cost.
Accommodation support is targeted at operators travelling longer distances, with safety‑based provisions (including cab vouchers) where alcohol is consumed at the evening event.
Operators book their own travel to simplify administration.
Recommended plus-one policy for the awards
Only operators (not their team members) are permitted to bring a plus-one to the awards to:
- keep the focus on recognising operator excellence and professional engagement
- control catering and alcohol related risks (R9)
- ensure equity where some operators might try to bring whole families/partners.
Additional rules
- One allowance per operator site – this will apply whether medium or large operators choose to bring additional managers or staff to the forum (noting the caps listed and the exception noted under travel and accommodation allowances, above)
- Accommodation is only covered where the distance from the venue is greater than 200 km. Where an operator lives 100–200 km from the venue and intends to consume alcohol at the evening event, COEX will cover the cost of one night’s accommodation, reflecting safety considerations associated with alcohol consumption and longer regional travel.
- These cases will be assessed on a case‑by‑case basis.
- Operators living within 100 km of the venue will not be provided accommodation; where public transport is unavailable, a taxi voucher of up to $100 will be provided.
- Operators to book their own travel – will be reimbursed a week before the event on receipt (simple to administer).
- No direct reimbursement to plus‑ones – reimbursements will be made directly to the operator to avoid budget blowouts and perceptions of misuse.
